Purpose:

The ESA Regional Operations Shared Service Centre (ROSSC) was authorized in December 2017 to provide financial and procurement transaction processing services as Phase I of the pilot project to five countries in the ESA region (Botswana, Eswatini, Lesotho, Namibia and South Africa). The goal was to address operational capacity gaps in these country office ensuring better quality finance and operational support to the programmes, and realizing cost-efficiencies. The services are expected to be expanded in Phase 2 (2019) to provide services on human resources, general administration and ICT. In addition to providing these services to the five countries, the ROSSC also provides similar services to the Regional Office.

The purpose of the assignment is to ensure that support is provided on administrative matters related to travel and premises services in readiness for phase 2 roll out.

Scope of work

  1.  Administration
  • Assist with follow up with service providers and landlord;
  • Assist with “Greening the Blue” initiative;
  • Assist with tagging of assets.
  1.  Travel: Assist with the processing of travel requests in compliance with UNFPA policies and procedures. The travel services will be provided to all UNFPA staff and UNFPA sponsored travellers.
    • Assist with sharing quotations with traveller to get clearance
    • Assist with getting the Travel Authorization and ticket comparison approved
    • Share electronic ticket with traveller
    • Assist with maintenance of log for submission of F10 for tracking purposes
    • Collection of F10s
    • Assist with maintaining an up-to-date filing system for travel documents.

Duration and working schedule

 

The assignment will be for a period of two months (12 August – 11 October 2019).

 

Place where services are to be delivered

 

The Junior Clerk will work from UNFPA ESARO Office, Sunninghill.

 

Delivery dates and how work will be delivered:

 

12 August – 11 October 2019.

Monthly report on tasks and results based on a daily log.

 

Monitoring and progress control, including reporting requirements, periodicity format and deadline:

 

The Junior Clerk will work under the supervision of the Procurement Specialist and overall guidance of the Regional Operations Manager.

 

There is no anticipated travel.

 

Required expertise, qualifications and competencies, including language requirements:

 

The following competencies and qualifications are required:

  • Completion of High School Education;
  • Under graduate education is an advantage;
  • Strong interpersonal and organizational skills;
  • Computer literacy in MS Office applications;
  • Good communication skills.

Languages:

  • Fluency in oral and written English. 

Functional Skill Set:

  • Organising documents, correspondence and reports
  • Planning, organizing and multi-tasking.

Remuneration

 

ZAR 9,200.00 per month.
