The purpose of the consultancy is to provide the Office of the Regional Director with communication, organizational and administrative support in the fourth quarter of 2018 where there are several strategic events and activities being led or organized through the Regional Director’s Office.

Some of the key activities include supporting the drafting of statements and briefing notes, supporting the organization of the DED-Programme’s mission to East and Southern Africa, and the launch of the State of World Population Report (13-17 October); ESA Regional Planning Meeting (16-22 October); International Conference on Family Planning (13-15 November); and the Mission to Malawi (20-22 November). The Consultant will also play a key role in following-up on ICPD@25 activities, based on the outcomes of the Regional meeting in Ghana (2-5 October 2018).

In addition to supporting the preparations for strategic meetings in collaboration with the Special Assistant, support is required to ensure timely review, drafting and finalization of documents submitted to the Office of the Regional Director.

The Consultant will also facilitate updating of the Regional Director’s i-doc page to include statements delivered by the Regional Director, briefing notes and country environmental scans.

Scope of work

The Consultant is required to undertake the following activities:

  • Draft statements, briefing notes and review correspondence submitted to the Office of the Regional Director;
  • Support the preparation of the key meetings being organized or led by the Regional office, including the meetings previously mentioned, as well as other key meetings that may emerge during the fourth quarter of 2018;
  • This support will include, but is not limited to conducting research on key ICPD and other issues to inform the strategic meetings and support to rapporteur functions in meetings as required;
  • Update the Regional Director’s i-doc page with statements delivered by the Regional Director; briefing notes; country background information, and environmental scans;
  • Support the Office of the Regional Director in the preparation and dissemination of year-end communications.

Deliverables will include:

  • Monthly report outlining actions completed in respect of strategic meetings, and the areas requiring follow-up;
  • Statements and briefing notes;

I-docs page updated with statements, country environmental scans and briefing notes from country missions.

Duration and schedule

The consultancy will be undertaken over a period of 3 months, beginning  1 October and ending 31 December 2018.

Place where services are to be delivered:

The services will be delivered in Johannesburg, South Africa.

Delivery dates and how work will be delivered (e.g. electronic, hard copy etc.):

  • Monthly updates and reports will be submitted in both electronic and hard copy format on the 28th day of the month.
  • The Consultant will organize a closing session with colleagues in the Office to demonstrate updates on the i-docs page relating to the Office of the Regional Director.
